01 · THE PROBLEM
Jenkar's operations team managed freight across sea, air and road while key information sat in spreadsheets, inboxes and hand-built reports. Every enquiry triggered repeated data entry, missing-information requests and manual checks. Quotes could take days, customs paperwork created rework risk, and management lacked a reliable view of live workload. Experienced staff were spending too much time moving information between systems instead of progressing freight and supporting customers.


02 · THE AUDIT
We followed real jobs from enquiry through quoting, customs documentation and reporting. Rather than imposing a generic AI tool, we mapped where information arrived, who made each decision, which exceptions mattered and where work stalled. The on-site audit produced a documented process map, prioritised opportunities and a costed roadmap, giving Jenkar clarity on what to build first and how to deliver it without disrupting live freight.
03 · WHAT WE BUILT
Three connected workflows formed the solution. Freight quoting structured enquiry details, identified missing information and prepared review-ready quotes. Customs documentation reused validated shipment data, reducing duplicate entry while retaining operational approval. Internal reporting consolidated live status so teams could see what was moving and what needed attention. Human review remained wherever commercial judgement, compliance or unusual shipment conditions mattered.


04 · THE ROLLOUT
Delivery was phased around live customer work. The first stage established data inputs, decision rules and approvals. The second introduced assisted quoting and document preparation with human review. The final stage connected reporting and moved the workflows into daily use. Each release was tested with the people doing the work, with edge cases captured and refined before wider adoption.
05 · GOVERNANCE & ADOPTION
Routine extraction, comparison, document preparation and status reporting were automated, while commercial judgement and unusual shipments stayed with the right people. Approval steps, exception routes and audit trails were built into the process. Focused training showed staff how to review outputs, correct issues and escalate exceptions. This protected service quality while avoiding additional administrative headcount.

06 · THE OUTCOME
Quote turnaround fell from days to minutes, with clearer visibility across every load. Removing repetitive work from quoting, documentation and reporting allowed the existing team to handle more volume without new hires. Jenkar calculated £16,500 in monthly cost removed from the operation. Faster responses improved the client experience, structured data reduced rework and management gained a more reliable view of live activity.

07 · WHAT HAPPENS NEXT
Jenkar now works with UK AI Consulting on an ongoing monthly retainer. Performance is reviewed, new exceptions are incorporated and further high-value workflows can be introduced as the operation changes. The same approach observes the process, quantifies the opportunity, builds with users and releases in controlled stages. It provides a repeatable way to extend automation across the business.
